Signature Fields
The Signature Fields section of the Toolbox are auto-populated fields used to automatically capture the recipients information or signature and initials field to sign the document.
Signature Field
The signature field can be dragged and dropped to electronically capture signatures at a desired location on a document. Recipients can choose from a selection of fonts to use for their eSignature, draw on their device or upload an image.
Initials Field
The initial field can be dragged and dropped to electronically capture a signer’s initials at a desired location on a document. Recipients can choose from a selection of fonts to use for their eSignature, draw on their device or upload an image.
Signer Name Field
The Signer Name field is an auto-populated field, as the name of the signer is provided by the sender, that can be dragged and dropped on at a desired location on a document.
Date Signed Field
The Date Signed field is an auto-populated field, as the current date is populated at time of signing, that can be dragged and dropped on at a desired location on a document.
Signer Email
The Signer Email field is an auto-populated field, as the email of the signer is provided by the sender, that can be dragged and dropped on at a desired location on a document.

Text Field
Provides a single line of text or numeric information to a document or template.
Text Box Field
Provides multiple lines of text or numeric information to a document or template.
Date Field
Provides date information to a document or template. Senders can choose formatting from Field Properties.

Senders can choose which date format they would like for their document or template. Creating a dropdown menu in a calendar format for recipients.

Checkbox Field
Provides checkbox type information to a document or template. Checkboxes can be grouped and allow one or more to be chosen per group.
Checkbox Groups
For Checkboxes with the same group name we can allow the recipients to either
- Allow checking only one checkbox in this group
- Allow checking multiple checkboxes in this group
Radio Button
Provides radio button type information to a document or template. Radio buttons can be grouped and only one radio button per group may be selected.
Radio Button Group
If radio buttons are assigned to the same group name, only one radio button per group can be chosen by the recipients
Dropdown Field
Provides a dropdown list where recipients can select one option from a list.
Senders can add the dropdown list options from Field Properties by entering the option and clicking Add.
Attachment Field
Allows recipients to upload any assisting document/image files, a Driver's License for example.
Tip! Notaries can utilize the image field to add their stamp.
Advanced Fields
Secured Field
Secured fields allow you to mask part of the information provided by the recipient or signer such as Social Security Number or credit card information. Secured fields are encrypted in the database. Foxit eSign displays only a selected number of characters to the other signers, set by the sender. Only users of the account with access to Secured Fields can access the sensitive information.
Access the Secured Field value
Access the Secured Field value after the envelope is executed by opening the envelope and click More Actions. Click Download Form Data to access the Excel Report. The Secured Field value can be viewed in Partially Signed status by opening the envelope and clicking More Actions and Display Secured Fields.
💡Tip! Make it easier to find your Secured Field Value by naming the field. The field name will appear as the name of the column, for example Credit Card Information or SSN.
Secured Field Access
Restrict Access to Authorized Users
In the company settings page, you can set Restrict Secured Field Access to Authorized Users Only to Yes for only secured field admins to see. If you choose this option, you will need to enable the access for each account user under Account Users in the Settings tab.
Grant Access to Secured Field
- Go to Settings tab. Navigate to the left side panel and click Account Users
- Edit an existing user by clicking
under Actions
- Select the Allow Secured Field Access checkbox. Click Save
Give Access to All Users
- Go to Settings tab. Click Security.
- For Restrict Secured Field Access to Authorized Users Only, set to No.
Set Displayed Characters for Secured Field
Set the limit for the end characters of the sensitive information that should be visible to the recipients for this secured field (default is 0). All but Number of Characters to Display set will be masked. Example: If the signer provides 9 digit social security (999-111-1011) and characters to display is set to 4, the display for SSN field will appear as ‘XX-XX-1011’.
💡Did you know? Naming the fields in Foxit eSign will make it easier to find your field and it’s value in the Excel Report. The field name works as an ID of the field and will be the name of the column in the Excel spreadsheet. In the example below, a Secured Field is used for Account Number. If a user has access they will be able to view the sensitive information in the Form Data.
Image Field
Allows the user to provide any PNG/JPG image files to the document or template.
Hyperlink Field
Allows the user to paste a URL link directly to their document or template.
Accept Button
Accepts the acceptance of document signing.
Decline Button
Declines the acceptance of document signing.
Personalized Fields
Personalized fields are included with our Business Premium and Enterprise plan. They are exactly what they sound like, fields you can fully customize and reuse! Once a personalized field is created, it will be added to the Personalized Field section when preparing templates and documents.
Examples of Personalized Fields to create:
- Dropdown Field with State list
- Text field named Address or Title
- Text fields named Phone Number with a Custom Validation using RegEx
- Prefilled Text Field with name of your location with View Only
Personalized Fields Access
By default, Super Admins of an account can create personalized fields. Personalized fields can be accessed from the left side panel under the Settings tab. Under the Settings tab in the section labeled Security, Super admins can allow Personalized Field creation to Admin and Regular Users.
- Users with access can create a Custom field and share it with all users on the account
- If not shared with all, only the owner (person who created the custom field) of the customized field and Super Admins can view and use the fields
- The owner of the field can give View only or Edit access while assigning the fields
Field Property Settings

Responsible Party | Assign which Party Role will be required to fill out the signer email field. |
Value Mandatory | If checked, the field will be highlighted in a red border. This requires the signer email to be filled before signing can be confirmed and the document can be executed. If not checked, the signature field is not required, therefore not mandatory. |
View Only | This will turn the field into a non-fillable field when signing. It will appear as a blank white space unless a Value is set. This is a good feature that can be used to make quick edits to a document or template. |
Include File Name | Using the Auto Derive Document Name feature, you can generate a new name after a Document is completed. |
Name | Naming the field is great for multiple reasons: - Guide your recipients on what information you need them to add in the field - Use the Advanced Search in the Documents tab to look for more specific documents, including values in particular text fields. - The field name works as an ID of the field and will be the name of the column in the Excel spreadsheet. - The fields are easier to find in the dropdown list when using dependent fields under Field Properties - For a prepopulated field, the name will contain a value that cannot be edited, the 'Signer Email'-field for example. - Notify a user when a completed envelope contains a specific field value If the party has completed their part, their values will be printed on the document and cannot be edited. |
Description | When someone’s mouse is hovered over this field, this description will appear in a small box under the cursor. This can be used for extra clarification on how to fill out a field. |
Text Alignment | Text can be aligned to the left (by default), center, or right side of the field. |
Font Size | Size of text inside the field. Set a default font size for all fields under Document/Template in the Settings tab. |
